Warner Bros. International Television Distribution Inc. seeks a Secretary for the WBITDI-Miami Sales Department. Position provides secretarial & administrative support for Manager. Performs basic administrative follow up to sales cycle: contract orders signature, contracts preparation, amendments preparation, materials delivery, contracts payment, etc. Performs various secretarial, administrative, & general office duties, including typing correspondence, answering telephones, coordinating contract imaging & document storage, general filing, maintaining various logs, preparing & mailing invoices, preparing spreadsheets, scheduling meetings, photocopying & distributing documents. Performs special assignments and related work. Prepares written correspondence from notes or dictation. Composes basic correspondence, such as cover letters and forms. Distributes incoming & outgoing correspondence & documents, including mail, courier packages, faxes, and E-mail. Prepares documents such as authorizations, purchase orders, notices, expense reports, & check requests. Periodically boxes up files to be sent to records storage. Makes photocopies of reports, documents, & other materials. Orders supplies & other items. Performs special tasks & projects as assigned.RequirementsHigh School diploma required. Some college preferred. Must be fluent in English and Spanish. Portuguese desired Must be extremely detail oriented and have excellent follow-up skills. Typing at 50+ wpm required. Must have proficiency with Word, Excel, Power Point, E-mail. Must have excellent communication, analytical & follow-up skills. Must have ability to maintain & control filing system. Must have strong knowledge of general office procedures. 2+ years previous administrative or secretarial experience in a related field or similar environment required. International experience strongly preferred. Must have the ability to communicate effectively and tactfully with persons on all levels, in person and on the telephone. Must be able to perform basic analysis and prepare spreadsheets. Must have the ability to pay close attention to detail and understand written and oral instructions. Must have the ability to organize and schedule work effectively. Must have the ability to work well under time constraints. Must have the ability to handle multiple tasks. Must have the ability to work in a team environment. Must have the ability to work overtime when necessary
